Introduction
You can use the vendor categories feature to create categories based on the various types of services that vendors are providing and group your vendors into the categories created. After the categories are set up, you can then assign one to each vendor.
When each vendor has a category, you can use them to locate vendors more easily. In addition, vendor reports can also be filtered by vendor category for specific reporting purposes. Additional benefits of setting up vendor categories are that you can filter vendors by their category in the Make Payment screen and prioritize making payments to vendors based on your business needs.
To set up vendor categories at the system level
Go to Admin > Toolbox > Custom List.
Select the Vendor Categories tab.
Click the Edit pencil icon.
Click the Add Row button at the bottom of the screen.
Complete the new row.
Click the Add Row button again to add the next category.
Click Save when you are done.
To assign a vendor to a category
Once vendor categories have been created, you can then assign each vendor to a category. (Note: A vendor can only be in one category.)
Open the vendor record.
Click the Edit pencil icon.
Complete the Category field.
Click Save.
Using Vendor Categories
You can use vendor categories to find vendors more easily, create prioritized payments for the same category, and run reports for a specific category.
Finding Vendors
On the Vendor List screen, you can use the filter to search for vendors in a specific category. (To view this screen, select Vendors from the top menu.)
Prioritizing Payments
On the Process Payments screen (Accounting > Account Payables > Make Payments), you can search for vendor categories and limit the payments to one category.
Using Vendor Categories in Reports
On vendor reports, you can filter by vendor categories (Reporting > Accounts Payables > Vendor Directory).
