How do I add a property?

This article explains how to create a new property record and how to add units in Breeze.

To add a new property

Go to Properties > Properties > Add New.

The New Property screen appears.

Complete the screen:

Name/Address

Enter the name and address of the property.

If you click the Use Google checkbox, when you start typing in this field, the auto-complete feature returns search results. Keep typing until the correct name or address appears in the results. Select it to complete the address fields. If the property has a name, when you select it, the name will appear in the first field and the address in the second field. If the property does not have a name (only an address), when you select the address, it will be in the first field and the second field will disappear.

Leave the check box blank if you want to enter the address manually.

Phone and Email

Enter contact information for the property. The contact information for the property will be used with CONDOCafé. The phone number will appear on the CONDOCafé website and the email address will receive CONDOCafé notifications.

Corporation Name

Enter the name of the corporation.

Corporation ID

Enter the identification number for the corporation.

Association Type

Enter the type of Association (Condo, Co-op, HOA or Strata). These Types cannot be changed and additional options cannot be added. If you are not seeing any Types appear in the dropdown when setting up your Property, please contact support.

Date Registered

Enter the date the association was registered.

Property % Common/Property Shares

For Condo, HOA, and Association Types you would enter the Property % Common. For Co-op Association Types you would enter the Property Shares.

Management Fees

To enter an amount per unit, enter an amount in the Per Door field and leave the Amount field at zero. The total fee is the Per Door amount * the number of condos on the property.

To enter a flat amount for the property, complete the Amount field.

Notes

Add any applicable notes regarding this association.

Click Save.

Note: At this time, there is not an option to add additional types for Property setup in Custom Lists. The current options are Condo, Co-op, HOA, and Strata.

A message appears: Next Step: Add Bank Accounts.

If you Skip this Step, you have to add a bank account later, before you enter any transactions at the property.

A message appears: Next Step: Late Fee Setup.

Click Add Late Fee Setup or Skip this Step.

A message appears: Next Step: Add Units.

You can enter units manually or import them. In this example, we enter them manually.

Enter the number of units and click the Add button.

A grid appears on the screen, with a row for each unit.

Breeze automatically completes the Address field.

Enter the Unit number, Fees, and % Common. The Legal Name is not a required field.

After entering the information on the first row, you can click Copy To Next Row and Breeze will auto-populate the next row and it will increment the unit number. Repeat this until all the rows are filled in.

Click Save.

A message appears: Next Step: Add Owners.

Note: There’s no way to merge properties. Instead, you have two options:

  1. Create a property list so you can run reports across multiple properties.

  2. Set up a new property and create new units to assign the owners.

To simplify the second option, you can generate an Owner Register report and use that data to import the users into the new property, then deactivate the old properties.
