How do I set up a recurring maintenance request?

For regular maintenance work, for example, pool cleaning, you can set up recurring maintenance requests. You set up a template and a schedule, and then you "post" the template to have the system create the correct maintenance requests at the correct intervals.

Note: This is sometimes called scheduled maintenance requests or MRs

To set up a recurring maintenance request

Go to Maintenance > Recurring MRs.

Click Add New.

Complete the screen. The Property and Post Ref. fields are required; the rest are optional.

In the Post Ref. field, enter a code for a group of recurring maintenance requests that you will post together.

Click the Schedule link. The Recurring Schedule screen appears.

Complete the screen. In the left panel, select a category: Daily, Weekly, Monthly, or Yearly. In the right panel, enter details. For example, if you select Weekly, you can set up a schedule for every week on Monday (shown above).

To set up a recurrence every two weeks, complete the screen as follows:

Click Save. The Recurring Schedule screen closes.

In the New Recurring MR screen, click Save.

The screen shows the saved recurring maintenance request.

In the Billing Info tab, you can add information to have the system create payables.

Click Add Detail.

Enter the description, pay amount, and expense account.

If you need to charge the owner, fill out the Charge Amount and Charge Code fields.

If you charge admin fees, select the Admin Fee checkbox.

After Setting up a Recurring Maintenance Request

A recurring maintenance request is a template. To create requests from the template, you need to post it. Go to Maintenance > Post Recurring MRs.

Removing or Deleting Recurring Maintenance Requests

Once a recurring maintenance request is created, it cannot be removed or deleted. It will have to be edited and flagged as inactive.
