This article explains how to track labour on a maintenance request. This functionality is available with Advanced Maintenance Requests.
On the Labour tab, you can add the name of the employee who worked on the request, along with their start time, end time, and hourly rate. This information is automatically transferred to the Billing tab, where it can be used to create a payable to the vendor, a charge to the owner (if applicable), and a management fee (if applicable).
To track labour costs on a maintenance request
Go to Maintenance > Maintenance Requests.
Click Add New. The New Maintenance Request screen appears.
Complete the screen as you normally would.
Click Save. The screen refreshes, and tabs are displayed at the bottom.
Click the Labour sub-tab.
The tab opens.
Click the Add Labour button.
Complete the row.
The Technician is auto-completed; the system pulls in the name of the User entered on the top part of the MR screen.
Enter the start and end of the work -- the dates and times. Breeze calculates the total hours worked.
Click Save.
Labour Costs on the Billing Info tab
The amount of time worked is transferred automatically to the Billing Info tab. You can use it to create a payable to the vendor, a charge to the owner (if applicable), and a management fee.
Open the Billing Info tab.
Click Add Row.
When you select an Employee, Breeze brings in the total hours for that employee (the time worked), and completes the Quantity field.
In the Unit Pay field, enter the hourly rate. Breeze calculates the amount due and completes the Pay Total field.
The right side of the detail row is shown below.
If you are going to charge the owner, complete the Unit Charge field with the hourly rate you are charging the owner. Breeze calculates the total and enters it in the Charge Total field. Select a Charge Code.
Complete the checkboxes as follows:
Pay: Breeze creates a payable to the vendor.
Charge: Breeze creates a charge for the owner.
Admin Fee: Breeze creates a payable to the management company.
The Management Vendor and Percentage fields are completed by Breeze, based on your setup for Advanced Maintenance requests.
Click Save.
When the maintenance request is complete, click Post to create the charges and payables.
Report on maintenance labour costs
Breeze includes a report on labour entered on maintenance requests.
Go to Reporting > Property > Maintenance Request Labour. The report appears.
By default, the report shows all the labour entered on maintenance requests.
To limit the results, click the filter icon
.
The report filter appears.
Complete the filter. In the example shown above, we are filtering by User.
The report shows the matching results.
