How do I post a CHECKscan batch?

This article explains how to review an incoming CHECKscan batch and post it.

In a typical batch, some checks have been matched with tenants and some have not.

When a check is matched to a tenant and the amount is equal to the open charges, Breeze creates a receipt record for it automatically. If a check is not matched to a tenant, you can add a receipt and select the tenant. If the check amount does not match the open charges, the tenant and all open charges are pulled in when you create the receipt.

When all the checks have been matched, you can post the CHECKscan batch, creating a posted receipt batch and a deposit record.

Note: CheckScan only applies to tenants, owners, customers, and vendors. A prospect will have to have a manual receipt and deposit

To review and post a CHECKscan batch

Go to Accounting > Accounts Receivable > CHECKscan.

Unposted batches have a status of Attention Required. Click anywhere in the row to open the batch.

Right side of screen:

When a check is matched to a tenant and the amount is equal to the open charges, Breeze creates a receipt, and the receipt number appears in the Receipt column. If not, an icon appears in the column.

To create a receipt, click the icon. The New Receipt screen appears.

Read the tenant's name on the image of the check and enter it in the Tenant field.

The screen changes, and Breeze displays the tenant's charges.

Note: In this example, we only show the left side of the screen.

Complete the Document Type field by selecting one of the following options:

  • Personal Check

  • Commercial Check

  • Money Order

  • Cashiers Check

  • Bill Pay

If you select Personal Check, Commercial Check, Cashiers Check or Bill Pay, you need to enter the check number, checking account number, and the transit number. If you select Money Order, you need to enter the check Number and transit Number.

Click Save. The Batch screen reappears, and you can proceed to the next unmatched check.

Continue the process until all the checks have been associated with tenants.

To post the batch

In the CHECKscan Batch screen, click Post.

Breeze creates a posted receipt batch and a deposit record for the batch.
