This procedure is intended for a user who has been given the role of Approver for invoices.
Invoice approval workflows are a Breeze feature. In an approval workflow, one user scans an invoice and enters the data. Other users can then approve the invoice or reject it.
Approving an Invoice
Approving an invoice means that the invoice is approved and the workflow is complete. It does not move the invoice to the next step in a chain of approvals, it is the final approval, and the invoice becomes a payable.
How to approve an invoice
Go to Accounting > Accounts Payable > Invoices.
Open the appropriate invoice.
If everything looks good and you are ready to approve the invoice, click Approve.
The invoice becomes a payable.
If there are issues with the invoice, select the Next Step field to view other options.
The options depend on the workflow setup, but they typically include Data Entry (sending the workflow back to Data Entry for corrections), Approve, and Reject.
Select an option and click Save.
Note: There are two ways to approve an invoice -- click the Approve button at the top of the screen, or select Approve as the Next Step and click Save. In both cases, the invoice becomes a payable.
Which invoices can an approver see?
When you go to Accounting > Accounts Payables > Invoices, Breeze shows the current invoices in your approval range. For example, an approver might only see invoices up to $5,000, depending on their assigned approval limit.
You can view other invoices by opening the filter and selecting the Show for All Users check box.
If you open an invoice which is not in your range, the Next Step drop down is blank and the Approve button is disabled.
