Format Custom Letters

This article describes how to use the Format Letters tab of the Company Settings screen to create custom letter templates.

Using the Correspondence feature, you can send letters to owners. There are some defaults:

This article describes how to set up custom letter templates, for example, a welcome letter. There is a default for a custom letter, but it is a blank template. In order to preserve a blank template, we start the procedure by copying it.

In the top right-hand corner of the screen, click the arrow and select Company Settings.

The Company Settings page appears. Open the Format Letters tab.

In the Letter field, select Custom Letter 1.

Custom Letter 1 is a blank default.

Click the Edit icon (the pencil). The screen changes to edit mode.

Click the Copy button in the top right.

Breeze makes a copy of the template, and gives it a default name, for example, Custom Letter 4. ("4" means that the template has already been copied a few times.)

Change the name to a descriptive name, for example, "Welcome Letter."

To save the new name, click Save.

Click the Edit icon again. Breeze displays the new template on the screen.

The template is divided into sections:

Edit each section as needed. The Body section is shown below after we added text appropriate for a welcome letter.

Breeze uses tokens as placeholders for information that will vary by owner. When you generate a letter, Breeze replaces the tokens with specific information from the database. If you need additional tokens, you can look them up in the Item to Replace field.

After you change a template, you should generate a letter as a test to ensure it appears as expected. Go to Reporting > Correspondence > Owner and select the Custom Letter tab.

If you are making extensive changes to a template, you might need several rounds of editing and testing to achieve the best results. You could open a second Breeze window, edit in one, and test in the other.
