How can I encourage my owners to sign up with CondoCafe?

Signing up with CondoCafe benefits your owners -- they can pay fees online and enter maintenance requests. It can also benefit you as an association manager -- if the owners are signed up, you can communicate with them more easily. To encourage owners to sign up, run the CondoCafe Users report and send an email invitation to owners who have not yet registered.

To invite owners to register with CondoCafe

Go to Owners > CondoCafe Invite.

Select a property. In the Registered on CondoCafe field, select Not Registered.

You can filter by owner if you want to send the invitation to a single owner.

In the From field, you can select which email address to use as the sender's address -- either the current user's address or the company's.

When you click Display, the report appears.

The report shows which owners have not signed up. Send an invitation by clicking the Send Email button. If you have already sent an invitation, the report shows the date the last email was sent.

The invitation email contains a link to condocafe.com, and owners can register to use the website.

Note: You can also run the report to see which owners have registered, and when they registered.

Invitation Email Template

There is a template for the invitation email that you can personalize. Go to the Company Settings screen. Click the Email Templates tab and select CONDOCafe Invite Letter.

You can modify the template as needed.

To test the template, add a sample owner with your email address, and then invite that owner to join CondoCafe.

Owner Registration Codes

When an owner is invited to CondoCafe through Breeze, the link that takes them to register their unit will sometimes open a page that will ask for a registration code.

This happens if the owner's email address is registered to another client's database.

For the registration code, they should use the Owner ID, found on the Owner Information page.

Owner Documents

For owners to access documents in CondoCafe, they first have to be added to the attachments tab on the Owner Information page. After, ensure they are published to the portal:
