What is CHECKscan?

Breeze Premier offers CHECKscan, allowing you to improve your accounts receivable process by reducing data entry, human error and banking fees. There are two versions available:

  • The CHECKscan app

  • Full Service CHECKscan

Each version is described below.

The CHECKscan App

With the CHECKscan app, you scan checks manually using a smart phone or tablet.

The app creates a CHECKscan batch in Breeze. You then log into Breeze and review and post the batch, as you would with a Full Service batch.

The checks are deposited into your bank account automatically by CHECKscan.

Full Service CHECKscan

In Full Service CHECKscan, owners mail their Fee checks to a PO box, and the checks are brought from the post office to Yardi-operated processing centers. The checks are scanned at the processing centers and appear in Breeze as unposted batches with the status of Attention Required.

In a typical batch, some checks have been matched with owners and some have not.

When a check is matched to an owner and the amount is equal to the open charges, Breeze creates a receipt record for it automatically. If a check is not matched to an owner, you can add a receipt and select the owner. If the check amount does not match the open charges, the owner and all open charges are pulled in when you create the receipt.

Matching is done on the MICR line on the check. When you match a check with an owner, Breeze remembers the MICR information for that owner, and the next time the owner pays, Breeze matches the check automatically.

The checks are deposited into your bank account automatically by CHECKscan.

After Scanning

We store the physical document for a period to confirm the deposit and to take needed steps in case of a return (non-sufficient funds or otherwise). After that period, we shred them.

The image of the check, referred to as Check-21 Image Cash Letter, is stored within Breeze for later reference by the property management company. These image cash letters carry the same legal authority as the original, physical check.
