Bank Reconciliation Adjustments and Merging Bank Deposits are Breeze Premier features. Chequebook Maintenance is available in both Breeze and Breeze Premier.
Bank Reconciliation Adjustments
You can create an adjustment to temporarily allow for a discrepancy between your books and the bank statement. Reconciling adjustments do not affect the G/L and should eventually be cleared—typically as part of the following reconciliation.
For example, your bank statement shows a payment that was not entered in Breeze, and the bank balance is off by that amount. While you are doing the reconciliation, you enter an adjustment to balance the bank account. Later, you learn what the payment was for and create a receipt and a deposit record in Breeze.
Use this procedure only for adjustments that will be cleared in a subsequent reconciliation. Misuse of this feature will cause future bank reconciliation problems.
To make an adjustment for a bank reconciliation
In the Bank Reconciliation screen, click the Adjust button.
A popup window appears.
Complete the screen.
Date | The date the adjustment affects the bank record. |
Reference | A reference number for the adjustment. |
Description | A brief description of the adjustment. |
Amount | The amount of the adjustment (can be positive or negative). |
Click Save. Breeze makes the bank reconciliation adjustment and displays a confirmation message.
The adjustment appears as a line in the General Ledger Transactions section of the screen.
After Making the Adjustment
If you discover the reason for the adjustment, or correct the transaction that made the adjustment necessary, you can reverse its effect by creating a offsetting adjustment for the same amount and clearing both items.
For example, you learn who the payment was from. You enter a receipt and a deposit record in Breeze. You create a negative adjustment to offset the original adjustment, mark both adjustments as cleared, and then clear the deposit record.
Chequebook Maintenance
How do I adjust bank reconciliations?
You can use the Cheque Book Maintenance feature to adjust bank transactions, changing dates, cheque numbers, and status (reconciled or unreconciled).
For example, a cheque to a vendor cleared the bank before the date of the payment in Breeze. (The cheque cleared the bank on 5/31 but the date in Breeze is 6/1.) If you are reconciling the bank at the end of May, on 5/31, you need to change the date of the payment to match the bank statement.
To use Chequebook Maintenance
Go to Accounting > Banking > Chequebook Maintenance.
Complete the filter and click Display. (At a minimum, you must select an Item Type and a Bank.)
The screen displays the matching bank transactions.
You can make the following modifying to a bank transaction:
Change the transaction number.
Change the date.
Change the reconciliation status.
Change the reconciliation date.
When you are done, click Save.
Note: If you enter a duplicate reference number on a journal entry, it will cause issues with the bank reconciliation.
Merging Bank Deposits
If you created multiple deposit records in Breeze that were treated as a single deposit by the bank, you can merge the Breeze records, so that your deposits correspond to bank deposits and are easier to reconcile.
To merge deposit records
Go to Admin > Toolbox > Merge Bank Deposits.
In the top part of the screen, select a bank and the "parent" deposit (the deposit record that you will merge the other records into).
Select the type of deposit -- a regular Deposit or an EFT Deposit.
Click Display. Breeze lists unreconciled deposits at the same bank in the bottom half of the screen.
Select the deposit records you wish to merge.
Click Merge.
Breeze combines the selected deposit records with the "merge into" record, making one deposit record. To view its contents, click the number in the Deposit column -- it's a link to the new record.
