How do I create a custom account tree?

Breeze Premier offers custom account trees. This article describes how to create a custom account tree in general terms--how to get started and how to use the different tools on the Account Tree screen. For a specific example, click here.

To create a custom account tree

Go to Admin > Account Trees.

Click Add New. The New Account Tree screen appears.

There are three ways to create a new tree:

  • From Existing Account Tree: With this method, you select an existing tree, make a copy of it, and then modify it.

  • From Selected GL Accounts: In this case, Breeze displays the chart of accounts and you select the accounts you want to include. Breeze builds a structure based on where the accounts appear in the GL, and you can then modify it as needed.

  • New Structure: With this method, you start from scratch and build the tree one account at a time.

All three methods give you a starting point, and then you can use the different tools on the screen to modify the new tree. In this article, we'll demonstrate the first method.

To create a new account tree from an existing one

When you select From Existing Account Tree, another field appears where you select a tree.

After you choose a tree, Breeze displays it on the right, in the Structure Preview section.

Verify that the tree is the one you want. When you are ready, click Continue. The tree appears in edit mode.

Complete the top part of the screen: Enter a Code and a Description for the new account tree.

In the Format field, you can change the way the account numbers are displayed on the report. For more information, see the last section in this article.

To modify an account tree

This section lists all the different ways you can change the tree.

1. You can change the number and name of an account.

2. You can select the account (along with other accounts) and apply formatting changes or other modifications. The formatting appears on Financial Reports.

The formatting tools are displayed in a bar for each line. If you hover over one of the tools, Breeze displays a tool tip.

Each tool is explained below.

Select one or more accounts.

Bold the account number and name.

Italicize the account number and name.

Underline the account number and name.

Add two lines under account number and name (double-underline).

Hide the account. The account will not appear on the report, but any amount in the account will still be included in the totals. For example, if you are preparing a report for owners, you might want to hide all the sub-accounts and only show the totals.

Display the amount as a negative value.

Reverse value: Calculate the total using the negative of the amount.

Modify the spacing around the account, changing the number of spaces on the left (the indent), or the number of spaces above.

Link (or delink) GL accounts. In a standard account tree, each account is linked to a single GL account. But in a custom tree, you can link an account to multiple GL accounts.

Add items to the tree (new accounts or new sections). New items are inserted below the current account.

Delete the account from the tree.

The account used as divisor when calculating percentages on income and cash-flow statements. Only one account in the tree should be marked as the divisor. If no account is marked as the divisor, Breeze calculates the divisor as the sum of regular, credit-balance, and income-statement accounts.

3. You can drag and drop an account or a whole section to a new location on the tree.

To change the format for account numbers

By default, the Format field is blank.

When the Format field is blank, Breeze uses the account format defined on the Company Settings screen (Company Settings > Account Settings > GL Account Format field).

You can use the Format field to change the way account numbers are displayed on reports. For example, instead of showing accounts as 4 characters, you can show them as 4 characters with a hyphen in the middle.

The resulting change on the report is shown below.

Lengthening the Account Format

If you want to lengthen the account format, add extra question marks to the field. For example, your current format is ????. If you make the format ????? (five characters), each account number will have a zero added at the end--for example, 1234 will become 12340.

You can't specify that the new character will be in a specific place (at the beginning, middle, or end). The extra character will always be at the end and it will always be a zero.

Shortening the Account Format

If your custom account tree uses the COA account numbers as its account numbers, we do not recommend shortening the account format, because you will lose the information in the last digit.

For example, your COA has four digit account numbers. On the custom account tree, you shorten the format to three digits. The last digit disappears, and you might end up with duplicate account numbers, for example, 1234 and 1236 would both become 123.

However, if you edit the account numbers on the custom account tree (and they no longer match the COA numbers) then you could shorten the format, as long as the new numbers make sense and there are no duplicates.
